Teaching Instructions

I want this plan to focus on students being able to efficiently modify text by using copy, cut, and paste functions, applying find and replace, and utilising proofreading tools such as spell check and grammar check in Microsoft Word 2016.

Mastering Editing Tools

Curriculum Area

  • Subject: Technology
  • Level: Key Stage 3 (Year 8)
  • UK National Curriculum Link:
    • Computing: Understand how to effectively use software tools to edit and refine work.
    • Digital Literacy: Improve proficiency in word processing software to enhance clarity and accuracy in written communication.

Lesson Objectives

By the end of this lesson, students will be able to:

  1. Efficiently modify text using Copy, Cut, and Paste functions.
  2. Utilise Find and Replace to quickly edit and adjust text.
  3. Apply proofreading tools such as Spell Check and Grammar Check in Microsoft Word 2016.
  4. Develop digital literacy by improving accuracy in word-processed documents.

Materials Needed

  • Computers/laptops with Microsoft Word 2016 installed
  • Pre-made Word document containing spelling and grammar errors
  • Whiteboard & markers for teacher demonstrations
  • Printed instruction sheet with shortcut keys for reinforcement
  • Stopwatch/timer for timed activities

Lesson Breakdown (35 Minutes)

1. Starter Activity – The Fastest Fixer (5 mins)

  • Display a deliberately unpolished paragraph on the board. Example: a passage with spelling errors, grammatical mistakes, and extra/repetitive words.
  • Challenge students: "How quickly can you fix this if you had the right tools?"
  • Briefly elicit ideas about how they currently fix mistakes in Word.
  • Introduce today’s focus: "Mastering Editing Tools in Word 2016."

2. Hands-On Exploration – Editing Power! (15 mins)

  • Demonstration (5 mins): Live showcase of:

    • Copy, Cut, Paste (Using keyboard shortcuts: Ctrl+C, Ctrl+X, Ctrl+V).
    • Find and Replace (Ctrl+H for a quicker approach).
    • Spell Check & Grammar Check (Using red/blue underlines and right-click suggestions).
  • Paired Challenge (10 mins):

    • Students open a pre-prepared document filled with typos, repeated words, and misplaced sentences.
    • In pairs, they must apply all three editing tools to fix the document within 5 minutes.
    • The first three pairs to submit correctly edited work get a mystery digital reward badge (displayed on a leaderboard).

3. Rapid Relay – Find & Replace Sprint (5 mins)

  • Divide the class into three teams.
  • Each team is given a paragraph where a specific word must be replaced across the text (e.g., change all "technology" words to "computing").
  • Time challenge: Which team can complete the Find & Replace task the fastest without missing a word?
  • The winners earn a "Master Editor" title for the next lesson.

4. Proofreading Perfection Check (5 mins)

  • Students individually use Spell Check & Grammar Check on their own homework or previous schoolwork.
  • Encourage reflection: What mistakes do I make most often? How can I improve?

5. Plenary – Tech Exit Ticket (5 mins)

  • Quickfire questions on mini whiteboards:
    • What is the shortcut for Paste?
    • How do you access Find and Replace?
    • What do red squiggly lines indicate in Word?
  • Discussion: "Why are these skills important in real life?" (e.g., professional emails, academic writing, job applications).
  • Students write one skill they will practise this week on a post-it and stick it on the “Skill Wall” for next lesson follow-up.

Assessment Methods

Observational Assessment: Monitor students’ engagement in paired challenges and competitive tasks.
Practical Work: Review corrected documents for accuracy in applying editing tools.
Plenary Responses: Evaluate student understanding based on their answers and reflections.

Differentiation & SEN Considerations

  • Support for lower-ability learners: Provide a cheat sheet of shortcut keys and slower-paced instructions during demonstrations.
  • Stretching higher-ability learners: Challenge them to speed-edit a large paragraph using only keyboard shortcuts, no mouse allowed.
  • SEN adjustments: Available pre-recorded screen tutorials for students who need replay access.

Homework Extension

  • Students write a short real-life scenario where using Find & Replace, Copy/Paste, or Spell Check could save time in professional or academic settings.
  • They will swap with a peer and apply the proofreading tools as if reviewing a real document.

Teacher Reflection Post-Lesson

  • What worked well? (e.g., "Students were highly engaged in the time-challenge activities.")
  • What should be adapted? (e.g., "Some students needed more time before the relay race.")

End of Lesson Summary

This lesson ensures Year 8 students become adept at using Microsoft Word 2016 efficiently. By integrating competition, hands-on tasks, and real-world scenarios, students not only build technical proficiency but also strengthen their digital literacy skills—essential in education and beyond.
